Instructions for Contributors to FMG Publications

The Foundation for Medieval Genealogy welcomes suggestions for publishing projects. Through our Occasional Publications series we can publish books, monographs, pamphlets, etc. provided they fall within the FMG remit. In general we target specialist, short-run works that would be of limited interest to mainstream publishers. If you have a proposal, please contact the editor.

Contributions for our journal Foundations can be in the form of short original papers, literature reviews, suggestions on approaches and techniques, and letters on all aspects of medieval (pre-1500) genealogy and prosopography. Submissions are accepted on the understanding that they have not been published elsewhere and are not pending such publication. We reserve the right to subject all contributions to expert scrutiny before acceptance, and to make editorial and stylistic changes to the text.

FOUNDATIONS is published in both electronic and printed formats. In both cases the overall format, contents and typographical arrangement is copyright © Foundation for Medieval Genealogy. Authors retain their personal copyright in material submitted, however it shall be understood implicitly that the submission of articles and other contributions confers on the FMG unlimited permission to reproduce and sell the material in any form, printed or electronic in pursuit of the organisation's objectives. No royalties shall be payable.

The work should be the result of original research, offer new opinions or have another appropriate value. It should not have been published previously, nor submitted for publication elsewhere

Format

Papers should preferably be submitted in electronic format, by email to the editor, or on CD-ROM. The preferred software is Microsoft Word. For other formats please check with the editor before submission.

The best guide to format is to look at earlier issues of the Journal. Use Arial font bold for headings, and Verdana font for body text. Abbreviations should be spelt out in full the first time they are used in the text except for recognised standard items. Explanatory footnotes should be used sparingly and referenced by superscript Arabic numerals. Detailed advice on formatting is available from the editor. Illustrations (excluding Word diagrams) should not be embedded, but submitted separately, preferably as Tagged Image Format Files (TIFF) or JPEG (JPG), with an indication in the text where they may be best placed. Colour images can be included in the online edition, but they must be meaningful when printed in greyscale in the printed journal. Genealogical charts should be designed to fit on the journal page, size A5, and can be in either portrait or landscape format.

Printed scripts may be submitted, as typescript, double-line spaced, on one side of the paper only and with wide margins. Two copies of the manuscript should be submitted together with two sets of any illustrations. Hardcopy papers should be sent to: The Editor, Foundations, Oak House, Vowchurch, HEREFORD, HR2 0RB, England.

Language

Foundations is published in English. Selected articles may be translated into other languages for online publication only. The editor is also willing to receive contributions in French or Spanish. These will be translated and the English version sent to the author for proof checking. The editor is willing to assist authors whose first language is not English.

Papers

Papers should include a title of not more than 15 words, the names of each author, and an abstract of not more than 200 words at the start, with acknowledgements and a list of references at the end. The main text should be divided into sections by use of appropriate subheadings, and should be as concise as possible; the whole length should not normally exceed 5000 words. Longer papers may exceptionally be accepted, but may have to be serialised in two or more issues of the Journal.

Further details of the author(s), including titles, degrees, professional qualifications and affiliation, together with a contact address or email, may be provided if desired as a footnote on the first page.

Short Communications

Preliminary accounts of work and other short communications should follow a similar format to papers but may exclude separate subheadings. The title should be no more than 10 words in length, the text should not exceed 1000 words and only one figure or table may be included. Please also supply up to five keywords or a brief abstract to accompany the short communication.

Letters

Letters to the editor will be considered for publication if they are of sufficient general interest. The length should not exceed 400 words and the editor may shorten them further. Anonymous or pseudonymous submissions cannot be published. Email addresses may be published where provided, however a full postal address must also be supplied to the editor. This will not be published in full without the author's permission. References should be cited in letters only when absolutely necessary.

Tables and Illustrations

Tables should be kept to a minimum and presented separately from the text. Complicated formatting should be avoided. Tables should not duplicate information presented in figures. Tables should be numbered in Roman numerals, with a brief but informative heading above the table. The legend should clearly explain the data in the table without the need to refer back to the text.

Pictures or charts should be legible when fitted within the printed journal format (i.e. A5 pages). Each should have a legend, numbered in Arabic numerals with an informative legend below the illustration.

Both tables and illustrations ("Figures") should be cited from the appropriate place in the text of the article.

References and archive sources

Clarity of citation shall be the overriding objective.

General reading matter on the topic should not be included in the bibliography unless it is cited in the text to support a specific point. If such material is considered essential it should be included under a separate subheading of "further reading".

No reference should be cited unless the author has personally examined it, verified the details referred to, and confirmed the bibliographic reference is correct. Primary sources not seen, but cited from other, secondary sources, should be indicated "[primary source] as cited by [secondary source]"

Citations in Text and Bibliography

The citation format for Foundations has changed. We no longer use the "Author-date" style, as used in earlier issues of the journal. Authors are now requested to use the Chicago humanities footnote style.  A short guide to how this applies to Foundations can be viewed here.

Abbreviations used

ed./eds. for editor(s), trans. for translator, comp. for compiler, etc.
For Book editions use the abbreviation "Edn."
Standard abbreviations may be used for certain sources commonly used in Foundations, click for list.
